Assistant roles: owner, editor, viewer

Understand what the Owner, Editor and Viewer roles can do on an assistant, and which role controls stay locked.

Written by Romain Morvant

This page explains who can change an assistant and who can only look. The assistant itself uses three roles: Owner, Editor, and Viewer. Organization roles (Admin and Trainer) are separate and are not assigned on the assistant.

Where to find the roles

Open the assistant, then Settings. Select Collaboration. The people list is under Team collaboration.

What each role can do

Owner has full access. They can change content and settings, manage who is on the list, delete the assistant, and transfer ownership.

Editor can change content and settings, and can view analytics.

Viewer can read the assistant and view analytics, but cannot change it.

An organization Admin can also edit, delete, and transfer ownership of every assistant in the organization, even when their listed role on this assistant is Editor.

What stays locked

On the Collaboration list, the owner's role cannot be switched to Editor or Viewer. When you select Add user, you only get Editor and Viewer. You cannot add someone as Owner here.

To hand the assistant to another organization member, use Transfer ownership. See Transfer ownership of an assistant.

Each person on the list also shows their organization role as a badge. If the badge is Admin, their assistant role stays Editor and that control is locked. Other organization members (the Trainer role) show Instructor.

This list is for colleagues in your organization. It is not the same as making the assistant public for learners.
